AI Logistics Copilot for Small Transport Companies

AI Logistics Copilot reduces dispatcher paperwork and repetitive communication while routing, safety, pricing, and carrier commitments remain under human control.

Not a boxed product: AI Logistics Copilot is our AI implementation process — session, audit, pilot, operations — adapted for small transport companies. The same steps and prices apply in all seven industries.

How it works

A visible operating chain, not a black box

What comes in, what the system does, where a person decides, and what you get.

  1. Signal

    Trip intake

Structure origin, destination, cargo, windows, vehicle requirements, contacts, and commercial conditions.

  2. AI layer

    Document control

Extract and compare waybills, delivery evidence, invoices, and missing documents against the trip record.

  3. Human control

    Approved decision

A responsible person reviews the critical commercial, technical, safety, or compliance decision.

  4. Outcome

    Updated trip record and exception

Prepare approved updates, flag delays or mismatches, and collect the evidence needed for a claim.

Example

AI Logistics Copilot: one request from input to approved output

CONCEPTConcept — not a commissioned project

Written by the studio to show the shape of the work: not client data and not the output of a running system.

  1. What comes in

Driver message with a photo of the signed waybill

Delivered. Two pallets short, the client signed with a remark.
  2. What the system prepares

    Trip record
Status: delivered with a discrepancy. Read from the waybill photo: waybill number, consignee, pallets planned and signed, remark present. Fields the photo shows unclearly are marked for checking
    Exception
Shortage of 2 pallets. Claim folder opened: signed waybill attached; loading photos and loading record missing
    Customer update
    Status message drafted
  3. Where a person decides

The dispatcher checks the fields read from the photo, approves the customer message and decides on the claim.

  4. What you get

Updated trip record and exception An updated trip record, an exception in the queue that lists the missing evidence, and an approved update to the customer.

What this does not prove
It does not show accuracy, speed or savings in your business. No client runs this workflow yet; a pilot measures those against your own starting numbers.

Be the first case in this industry: the pilot programme

Working example

A process we run ourselves

Our own assistant, not a client installation — it shows the pattern, not a promise of results in your industry.

INTERNALOur own product

VIT LIVE assistant

VITON13 · VIT INTERCORE tab of the VITON ID cabinet · panel: VIT ASSISTENT

Answers signed-in members’ questions about VITON13 products and studio packages from its own catalogue first (84 items per language), with fixed replies on prices and ordering read from our price ladders. Only when nothing matches does the question go to a self-hosted language model.

What we did
Input: a member’s question. System: a keyword matcher ranks the catalogue and replies with up to six priced cards; fixed replies answer price and ordering questions; the model is the last step. Person: the member chooses — nothing goes into the bag without that choice. Orders go through the forms on the service pages and are answered by the studio.
What this does not prove
Our own product for signed-in VITON ID members, not a client installation. Keyword matching with no vector search; no usage, accuracy or conversion figures; the case does not show the model running in production. It shows the pattern — first-party facts in, a person deciding — not results for your business.

Ways to start

One process in four steps

The same four steps and prices in every industry. Each step ends with something you can decide on before paying for the next one.

  • Find the process worth automating

A 90-minute working session that picks one process, scopes it honestly and leaves a written next-step plan.

  • Check one workflow before building

One workflow mapped end to end, the data you have reviewed, and a written recommendation — including “do not automate this yet”.

  • Run a pilot on real data

One workflow connected to one system and tested with your team, with a person approving every commercial or safety decision.

  • Keep it running and expand

Monitoring, tuning and a written monthly report once the pilot is live.

  • Didn’t find your task?

Describe it in your own words. We confirm whether we can do it, and on what terms, before anything is ordered.

Scope

What is included, what we need from you, and the limits

What the AI operating layer includes

  • Trip intakeStructure origin, destination, cargo, windows, vehicle requirements, contacts, and commercial conditions.
  • Document controlExtract and compare waybills, delivery evidence, invoices, and missing documents against the trip record.
  • Status and exceptionsPrepare approved updates, flag delays or mismatches, and collect the evidence needed for a claim.

What we need from you

  • The workflow you want to change and where requests arrive: email, forms, calls, spreadsheets
  • Examples of real requests with personal data removed
  • Access to the systems involved, or exports from them
  • The person who approves prices, commitments and safety decisions

Limits

  • The system prepares and routes; a person approves prices, terms and safety decisions.
  • Model, hosting and telephony usage are paid by you directly to the provider.
  • A pilot covers one workflow and one connected system; anything more is scoped separately.

Integrations

Which systems can it connect to?

Systems this page names are connected after a data and access review. Anything else goes through an API, webhooks or a file export, confirmed in the written scope before any build. A pilot connects one system; more are scoped separately.

AI Workflow Audit

A focused review of one process: where it loses time, what data exists, and whether automating it is worth doing at all. The same audit runs for every industry we automate.

Standard implementationfrom $73

Custom implementationfrom $93

Process

How the work goes

  1. Audit

We map the real workflow, exceptions, data sources, decision rights, and current performance baseline.

  2. Blueprint

We define the integrations, approval gates, security boundaries, and the first measurable use case.

  3. Pilot

The workflow runs with a limited team, traceable outputs, and human review before critical actions.

  4. Scale

After the KPI review, we stabilize the system and expand only where the evidence supports it.

Questions

Frequently asked

Does the system make routing or safety decisions?

Not autonomously. It can prepare options and surface exceptions; authorized dispatchers retain operational and safety decisions.

Can it read transport documents from photos?

Yes, subject to image quality and document type. Important fields can require validation before they update a trip record.

Is AI Logistics Copilot a ready-made product?

No. AI Logistics Copilot is our AI implementation process for small transport companies: a use-case session or a workflow audit first, then a pilot on one workflow connected to one system, then optional monthly operations. The same steps and prices apply in all seven industries we describe. No client has run it in this industry yet, so the example on this page is a concept; the pilot programme has one place for an industry AI pilot at a lower price.

What happens after I order?

Before work starts, we confirm the production mode, final price, deliverables, timeline, revision rounds, exclusions and handoff in writing.

What should I provide before work starts?

Share the goal, current materials, required access, a decision owner and any fixed deadline. The selected scope lists the exact inputs needed for delivery.
